Privacy policy

GameNotes is a team app for youth hockey, run by Flying V Labs in Ontario, Canada. Most of the people it describes are children, so we collect as little as we can, never sell anything, and put parents in charge of their child's information. We follow Canada's Personal Information Protection and Electronic Documents Act (PIPEDA).

Who is in charge of a child's account

A parent or guardian creates the account and the player profile. A player can have their own sign-in only when a guardian invites them, and the guardian can always see what coaches send the player. Teams add players to a roster; a family claims their player to control the profile.

What we collect

• Account: your email address, a display name and an optional photo.
• Player profile: name, jersey number, position, team, and anything a guardian chooses to add (birthday, height and weight, photos).
• Hockey data: the schedule, RSVPs, tracked shots and saves, official game sheets (goals, assists, penalties, lineups), coach notes, practice and game plans, and links to game film or uploaded video.
• Messages: team announcements and notifications, and the email addresses they're sent to.
• Technical: an audit log of changes made in the app (who changed what, and when), and error logs. We don't use advertising or tracking cookies; the only cookies keep you signed in.

Who can see it

• Your team: being on a team's roster means the team's players, families, coaches and managers see that player's stats for the team's games, the schedule, and team film.
• Beyond the team: only if the guardian chooses. A player's profile is private by default; a guardian can make the hockey card visible to other GameNotes users or shareable by link.
• Trainers: only the development items a family shares with them, and never games or team data.
• Film: team volunteers may film games and share clips within the team. A family can opt out of team film when joining; the team's managers see that choice and are asked to respect it.

Service providers

These companies process data on our behalf, only to run GameNotes:

• Supabase: database, sign-in and file storage.
• Vercel: hosting the app.
• Resend: sending email.
• Anthropic: HockeyIQ recaps and reading pasted schedules, rosters and scoresheets. What is sent is the hockey data needed for that request. It is not used to train models.
• Cloudflare: storing and playing uploaded game film.

Some of these providers store data outside Canada, including in the United States.

How long we keep it

• Your account and your player's record stay until you ask us to delete them.
• The audit log keeps entries for 365 days. Copies of deleted records are kept for 30 days, so a mistake can be undone, and then removed.
• If your family leaves a team, your player's own record stays with you. The team keeps its shared game records, but loses access to your player's private record.

Your choices

You can see and correct your information in the app at any time. To get a copy of your data, delete your account or your child's, or remove film featuring your child, email privacy@flyingvlabs.io. We'll confirm who you are and respond within 30 days.

Changes

If we change this policy in a way that affects how your information is used, we'll tell account holders by email before the change takes effect.
